How WSRP handles member accounts, support records, grievance reports, and submitted evidence.

Information we use

Account identity, Discord and Roblox usernames, department roles, applications, training records, tickets, grievances, and files you intentionally submit are used to operate the community and resolve requests.

Who can see it

Access is limited by role and purpose. Members can see their own submissions. Department staff can see their assigned department information. Support agents can see assigned tickets. Grievance reviewers, supervisors, administrators, and the owner can see grievance cases.

Evidence files

Evidence is placed in private storage. Access is granted through short-lived links only after the database confirms the viewer is the submitter or an authorized reviewer. Evidence should not include unrelated private information.

Document controls

Controlled handbooks and training materials are rendered inside the website without source-file download links. Visible content can still be captured by screenshots or manual copying, so the portal also uses access controls, watermarking, and audit records.

Retention and reporting

Administrators should establish and publish a retention schedule before launch. Members may use a support ticket to request correction of inaccurate profile information or ask a privacy question.
